This article guides you through the process of customising document labels within the Booking Management Module. Document labels are fields that appear on client-facing documents (e.g., invoices, itineraries, booking confirmations). By default, these labels may not always align with your company's preferred terminology. This feature allows you to update these labels to ensure your client documents are consistent with your branding and language.
Why Customise Document Labels?
- Brand Consistency: Align document terminology with your company's unique vocabulary.
- Clarity for Clients: Use language that is familiar and easily understood by your customers.
- Multi-language Support: Ensure your documents are accurate and professional in many European languages.
Accessing the Document Label Management Area
To begin customising your documents, go to the navigation bar and open the Search menu.
Within the Search menu, locate and click on Interfacing/Document Labels.
Searching for Document Labels
The Document Label management screen allows you to search for specific labels, making it easier to find and modify the ones you need.
Once you are in the "Document Labels" section, you will see a search interface.
You can search for labels using the following criteria:
-
- Type: Within the dropdown menu, there are a number of options to update labels used within the Interfacing process as well as managing the labels used for document production. Select Document from this list.
-
- Context: This is the generic naming of the label field i.e. Invoice No. or Destination. If searching for a particular context, enter part of the context name in the search field.
- Code: Only appears when the type selected is one of the external interface systems and is not relevant for Document labels.
- Label: This is the currently configured label name for the context for the selected language. If searching for a particular label, enter part of the context name in the search field.
- Language: Indicated by the button at the top-right of the search window. D means Default language as per the configuration of the system. Click on this button to open the Select Language window.
Select the language that you need for the document label i.e. English, German, French etc. - Enter your search term(s) into the relevant field(s) and click the "Search" button.
Updating Document Labels for Supported Languages
Booking Management Module supports multiple European languages, allowing you to tailor your document labels for each. This ensures that when a document is generated in a specific language, the custom label you've defined for that language is used.
-
From the search results, click on the Retrieve button next to the label you wish to modify. This will open the "Edit Interfacing/Document Label" window.
-
Within the Edit Interfacing/Document Label window, you will not be able to edit the default label so need to click the D button to choose from the list of supported languages. Each language can have a corresponding label name.
-
For each language you wish to update, enter your desired new label text into the Label field. For example:
- English: "Booking Ref"
- French: "Numéro de Réservation"
- German: "Buchungsnummer"
- Spanish: "Número de Reserva"
Note: If you leave a language field blank, the system will revert to using the "Default Label Text" for that language.
-
Once you have entered your desired custom label for the relevant language, click the OK button at the bottom of the Edit Interfacing/Document Label window.
-
Repeat this process for all other document labels and languages that you wish to customise.
- Test the configuration by opening an existing folder, generating a document containing the updated label(s) using the appropriate language version.
Examples for an update to the Folder No. label.
- English language version
- French language version
- German language version
